Look Beyond The Folder
A health and safety audit tests whether management arrangements work in practice. We compare policies, responsibilities and records with what people do, then identify gaps in planning, delivery and follow-up. An audit differs from a single risk assessment because it looks across the system that should keep multiple activities under control.
The scope might cover a Glasgow commercial building, a group of workshops or selected contractor arrangements. We agree the criteria, locations and reporting format before starting. This makes the findings useful to the manager who needs to act, rather than a long list with no owner.
When An Audit Helps
An audit can help after a change in management, before taking responsibility for new premises or when the same issues keep returning. It can also support a planned internal review or a customer request for evidence. Explain the reason for commissioning it so we can distinguish immediate operational concerns from wider management questions.
If an incident has occurred, preserve the relevant records and address any continuing danger first. An audit may identify system weaknesses, but it is not automatically a substitute for a competent incident investigation. The two activities need different questions and evidence.
Criteria And Evidence
The legal starting point is the Health and Safety at Work etc Act 1974 and applicable regulations for the activities sampled. HSE management guidance helps structure the review around planning, doing, checking and acting. We do not treat every business as if it needs the same management system.
Typical evidence includes assessment records, maintenance arrangements, training information, contractor controls and action closure records. Interviews can test whether responsibilities are understood. Observations help distinguish a missing record from a control that is absent on the floor.
Our Audit Process
We begin by agreeing the scope and obtaining selected documents. Your nominated contact identifies the areas, shifts and managers involved. Where there are access restrictions or sensitive operations, we plan a route that allows useful observation without creating a new risk.
During the review we sample evidence, speak with relevant staff and observe agreed activities. Sampling means an audit cannot establish the condition of every task at every moment. The report should clearly state what was examined and any limitations that affect the conclusions.
We discuss significant findings with the responsible manager before the final report is issued. Each finding needs a factual basis and a practical recommendation. If an immediate risk is observed, it should be raised during the visit rather than left for a later document.
A Report Managers Can Use
The report separates gaps in legal arrangements, operational weaknesses and opportunities to improve consistency. Actions should name the issue, explain the potential consequence and identify who needs to respond. We can agree a summary format for directors alongside a detailed register for supervisors.
Closing an action should require evidence that the remedy has worked. A new procedure may need a staff briefing, observed use and a later check. Repeating the same audit without testing previous actions can leave underlying problems unresolved.
Audit Costs And Preparation
The cost depends on the premises, workforce activities, document volume and depth of sampling. A multi-site comparison or shift-based operation needs different planning from a focused contractor-control audit. Ask whether draft discussions, a management presentation and follow-up verification are part of the fee.
Prepare current records rather than spending time creating a perfect folder solely for the visit. Evidence of how issues are identified and corrected is often more useful than polished wording. Tell us about customer deadlines and any previous findings you want the audit to revisit.
Questions About Health And Safety Audit
Is A Health And Safety Audit A Certification?
A health and safety audit is a review against agreed criteria and does not itself award certification. It can identify weaknesses, support management decisions and prepare evidence for a separate assessment. Any certification scheme has its own rules and assessment process, which must be confirmed with the relevant scheme provider.
Can An Audit Cover More Than One Site?
A health and safety audit can cover several sites if the sampling and reporting are agreed in advance. We consider shared arrangements alongside differences in activities, equipment and management. The report should identify which premises were visited so a finding from one location is not treated as proof about every location.
